Multiple items and ledgers in Excel import

When you upload invoices from Excel, each invoice can now carry up to 10 item blocks and 10 ledger blocks. Earlier, you were limited to 1 item and 2 ledgers per invoice.Use this when your invoices come from a billing tool like Zoho, Vyapar or your own ERP with many line items, or when a sale is split across ledgers such as product, service and freight. How to use it
  1. Go to Sales → Excel Upload and upload your file.
  2. On the Field Mapping screen, click + Add Item or + Add Ledger to add a block.
  3. Map each Excel column to its field in the block. Repeating columns such as “Item Name 1, Item Name 2” map automatically.
  4. Click Preview, fill in any missing names or amounts, then click Create Invoices.
Good to know
  • Sync your customer, item and ledger masters from Tally before you upload.
  • Each block is independent. Item 1 can use Unit Rate and Quantity while Item 2 uses Amount only.
  • You can map only a Name or only an Amount and fill in the rest at Preview. Every block needs both before the invoice is created.
  • Block numbers stay fixed. Deleting one does not renumber the others, and empty blocks are skipped.
  • You can only delete a block that has nothing mapped to it.
  • Works in both Item Mode and Accounting Mode. The default screen still starts with 1 item and 1 ledger.

Split one bank transaction across multiple vendors or customers

One line on your bank statement can now be recorded against several vendor or customer ledgers in a single voucher. Useful when a payment gateway settles many customers in one payout, or you pay several vendors in one bulk transfer.Works with Payment, Receipt and Custom vouchers. How to use it
  1. In Banking, open the transaction and choose the voucher type.
  2. Select the main vendor or customer in Ledger Allocation.
  3. Under Additional Ledger, add the other vendors or customers with their amounts.
  4. Add any charges in the same voucher, such as gateway commission, TDS or bank charges.
  5. For parties tracked bill-by-bill, allocate using Agst Ref, New Ref, Advance or On Account.
  6. Check that the total matches the bank amount, save, and sync to Tally.
Good to know
  • Vendors and customers must sit under Sundry Creditors or Sundry Debtors in Tally, and your ledger masters must be synced.
  • Bill allocation only appears for ledgers with Maintain balances bill-by-bill turned on. See Bill-by-bill tracking.
  • Each party’s bill allocation must add up to that party’s amount.
Example: a gateway credits ₹98,000 for three customer orders worth ₹1,00,000, after keeping ₹2,000 as commission. Record one Receipt with the three customers (₹1,00,000 in total) and a commission ledger of ₹2,000.

Automatic GST, TDS/TCS and round-off on bills

AI Accountant now calculates GST, TDS/TCS and round-off on purchase bills using the rates in your Tally ledger masters. Ledgers are grouped into sections and sync to Tally in this order:Sub-total → GST → TDS/TCS/Others → AdjustmentsHow to use it
  1. Sync masters from Tally.
  2. Create or upload a bill and check the Sub-total.
  3. Select your GST ledgers. The amount fills in.
  4. Select a TDS or TCS ledger and choose TDS or TCS. New bills default to TDS.
  5. Under Adjustments, select your round-off ledger. It is calculated last.
  6. Sync to Tally.
Set up your ledgers in TallyHow amounts are worked out
  • GST is calculated on the taxable value. If a bill has items at different rates, add each GST ledger.
  • TDS/TCS is calculated on the taxable value excluding GST. The rate depends on the 4th character of the party’s PAN: P or H uses the Individual/HUF rate, anything else uses the other deductee rate. If there is no PAN, it is taken from the GSTIN. If neither exists, 20% applies. If no rate is set in your masters, the amount is left blank.
  • Others (VAT, CENVAT, Excise and similar) are not calculated.
  • Round-off uses the Rounding Method (Normal, Downward or Upward) and Rounding Limit on the ledger, and updates when the total changes. You can add more than one adjustment ledger, such as round-off and shipping.
Which value wins: your edit, then the amount extracted from the bill, then the calculated amount. Your edits are never overwritten.Vouchers pulled from Tally keep their original Tally order and round-off unless you edit them. Once edited, they follow the order above.
