# Create a sales invoice

> Fill in a sales invoice field by field, from the GST registration down to allocation.

This page covers filling in one sales invoice. To enter many at once, use [Upload invoices from Excel](/help/sales/upload-invoices-from-excel).

## Before you begin

* Your Tally company is connected and synced with AI Accountant.
* The customer exists in your Tally masters, or has been added in the Customers module.
* The stock item exists in your Tally inventory.

## Open the form

In the left menu, click **Sales**, then **+ Create Invoice** at the top right.

## 1. Fill in the invoice header

| Field                    | What to enter                                                                                                                                           |
| ------------------------ | ------------------------------------------------------------------------------------------------------------------------------------------------------- |
| GST Registration         | The GST registration the invoice is raised under. If your company is registered in more than one state, select the one for the billing branch.          |
| Voucher Type             | Sales, for a normal sale. Other sales voucher types configured in Tally, such as an export sales voucher, appear in the dropdown.                       |
| Voucher / Invoice Number | Editable only if your sales voucher in Tally uses manual numbering. With automatic numbering the field is locked, and Tally assigns the number at sync. |
| Reference Number         | Your own reference, such as the customer's PO number. Optional.                                                                                         |
| Invoice Date             | The date of the sale.                                                                                                                                   |
| Cost Centre Class        | Turn on only if you track sales against a cost centre such as a project or branch.                                                                      |

## 2. Select the customer

Under **Customer Details**, select the customer in the **Customer Name** dropdown. The list shows customers synced from Tally.

Billing address, shipping address, GST treatment, GSTIN, and place of supply fill in from the customer master.

To change a value for this invoice only, click the pencil icon next to the field. The Tally master is not affected.

  If the customer is not listed, add them in the **Customers** module in the left menu, then reopen the invoice form.

## 3. Add line items

Scroll to **Item Details** and complete one row per item.

| Field             | What to enter                                                                                                               |
| ----------------- | --------------------------------------------------------------------------------------------------------------------------- |
| Sales Ledger      | The sales account the revenue posts to in Tally, such as Sales Local or Sales Export.                                       |
| Description       | What was sold. This appears on the customer's invoice.                                                                      |
| Item              | The stock item from your Tally inventory. Selecting it pulls in the rate from the Tally master and the applicable tax rate. |
| Godown / Location | The godown the stock moves out of. Required when more than one godown is configured in Tally.                               |
| Quantity          | Units sold.                                                                                                                 |
| Rate              | Pulled from the Tally master. Edit if this sale is at a different price.                                                    |

The amount is calculated automatically. To add another item, click **+ Add Line Item**.

## 4. Add charges, taxes, and narration

**Ledgers** is for charges that are not items, such as freight or packing. Leave it blank if not required.

**Taxes** is calculated from the item's tax rate and the customer's state: CGST and SGST within the state, IGST across states. If reverse charge applies, set **Reverse Charges** to Applicable.

Use **Narration** for a note against the entry. The **Grand Total** on the right updates as items are added.

## 5. Allocate and save

Click **Allocate Invoice** at the top right.

| Field             | What to enter                                                                 |
| ----------------- | ----------------------------------------------------------------------------- |
| Type of Reference | New Reference, for a fresh sale.                                              |
| Name / Ref No     | The reference shown in Tally's outstanding statement. Use the invoice number. |
| Due Date          | When you expect payment. This drives ageing in Tally.                         |
| Amount            | Confirm it matches the invoice total.                                         |

To split the invoice between an advance and a new sale, click **+ Add Another Reference** and add a second row. One row is enough for most invoices.

Click **Confirm & Allocate**. An "AR voucher created" confirmation appears and the invoice moves to the top of the All Invoices list. The Voucher Number stays blank until you sync.
